The
future is here now. Optizone Enterprise is
designed to handle all aspects of optical retail management file and record
keeping without using pen and paper.
Starting
with your clients, if they make first contact with
your office they can enroll themselves directly
into the Optizone database via a Web-Site
submission. When the arrive at your office, their
data is already ready. If you want to make copies
of any of their eyeglass prescriptions or past records,
they can be scanned and added into the file management
tracked under their name.
Any
communications either by phone or mail/e-mail is
tracked and recorded under their communications
record.
All
records information including past invoices can be
e-mailed to the client or interested party as
required.
Ordering
inventory electronically for a client is as easy as setting up
Outlook Express for e-mail and you can then watch
Optizone connect your orders electronically to
your suppliers. Tracking the orders is
accomplished be the suppliers sending you a
confirmation/tray number to assure that the
transmission was received. All these procedures
are done electronically and a telephone was even
required.
Thing
about how much money can be saved. No need for
file cabinets, folders, shelving etc. Save
valuable office space by not dedicating space to
paper holding cabinets. "Lost files?"
not with a computer, any file can be pulled
instantly after search.
Of
course, computer files can be lost. But with a
simple memory stick all files can be backed up and
taken home with you. Your office can burn down and
you still would have a copy of all your files.
Rebuilding your office is easy, replicating your
years of work is not.
Digital
documents are not always acceptable in your area.
We urge you to contact your governing bodies to
see what is required. Some agencies are slow in
adoption of exclusively electronic documents, but
the law is changing in many areas.
Security
is always paramount, especially with patient
medical records. It is important to keep your
computers passkey protected and with newer systems
encrypted. Speak to your IT professionals to find
out more information on what is available to you.
Computers
are changing our lives quickly, the good news is
that it is getting easier. It is your
responsibility to learn how to use modern computer
equipment. You patients will be impressed too.

Using the
telephone is no longer required either. All communications
and records can be delivered electronically to your optical
patients. Surveys suggest
that approximately 50 to 90 percent of the population access
an e-mail account daily. They want an e-mail instead of a
phone call. Think about how
much time you will be saving clicking buttons as opposed to
making a phone call. Be sure to collect e-mails when your
clients are visiting.
For Instance:
Your patients
eyeglasses are ready for pick up. Select from your letter
library the default letter for glasses pick up and insert it
into the patients communication form and click "Send
Email" and the procedure is complete. As fast as you
can read this paragraph, the procedure has been completed.
